    Responsibilities:

    This position plays a key role in executing activities to help the Workplace team create a unique, values driven workspace that is safe, fun, creative and authentic.

     

    Leadership of Team:

    • Deliver innovative leadership to create an exceptional customer experience environment while continually looking to enhance service delivery.
    • Lead the Workplace organization to ensure it is positioned to achieve its stated purpose and vision.
    • Ensure the Workplace function is appropriately resourced based on business priorities. Focus on staff development by ensuring the talent management for all roles. Research and recommend business tools and processes, which improve productivity, efficiency, and experience.
    • Clearly defined, training plans agreed and implemented.
    • Represent the Workplace function by being visible and building solid working relationships with key stakeholders in the business.

     

    Strategy & Plans:

    • Work closely with the Executive and Workplace leadership team to ensure each site prepares an annual plan. The site plans will cover:
      • Events and Culture
      • Branding and Communications Operations
      • Operations
      • Workspace
      • Wellness
      • Projects
      • Evaluation and Analysis
      • Real Estate

     

    Finance & Budgets:

    • Develop and manage capital and operating budgets in line with business objectives and financial goals.
    • Work closely with the Discipline owners to ensure each site budgets appropriately for all activities and initiatives across each discipline.

    Service Delivery:

    • Ensure services for the following disciplines are delivered in accordance with the annual plans:
      • Events and Culture
      • Branding and Communications
      • Workspace Operations
      • Projects
      • Wellness                                                 
      • Evaluation and Analysis
      • Real Estate

     

    Workspace Operations:

    • Lead, direct and collaborate with the Workspace discipline and Workspace Director globally.
    • Partner with the Workspace Director to ensure the workspace Operations plan that is aligned with the Workplace strategy. The plan will include, strategy, purpose and measures of success.
    • Work with the Managers to ensure:
      • Each site’s annual plan includes a Workspace Operations sub-plan that is aligned with the global discipline strategy.
      • All activities are implemented in accordance with the sub-plan.
      • All activities are evaluated and reported on every quarter.

     

    Projects:

    • Lead the Projects discipline globally.
    • Partner with the SVP and executive team to ensure alignment of business goals to Workplace strategy. The plan will include, strategy, purpose and measures of success.
    • Work with the team to ensure:
      • Each site’s annual plan includes a Projects sub-plan that is aligned with the global Project strategy.
      • All activities are implemented in accordance with the sub-plan.
      • All activities are evaluated and reported on every quarter.
      • Manage projects in accordance with the global framework/strategy.
    • Manage internal and external resources to ensure major projects are delivered within the allocated budget and agreed timeframe.
    • Interface with stakeholders in the project including internal management, consultants & vendors.
    • Evaluate projects and provide monthly reports.

     

    Evaluation & Analysis:

    • Lead the Evaluation and Analysis discipline globally.
    • Set the “Evaluation and Analysis” strategy, purpose, framework and measures of success.
    • Develop an Experience evaluation methodology and a Discipline evaluation mechanism.
    • Ensure we gather and analyze data from across all areas Workplace manage. If we manage it, we measure it. i.e. regular workplace surveys, customer satisfaction, budgets, customer data, space utilization, team activity, task analysis, etc.
    • Gather and analyze and report data in a way that ensures the Workplace team have a holistic understanding of our customers underpinned by reliable and current data i.e. customer profiles, how they feel, needs, wants, shifting focuses, priorities, etc. This understanding will be used to drive our strategic planning & decision making and improve our processes and services.
    • Work with the Managers to ensure:
      • Each site’s annual plan includes an Evaluation & Analysis sub-plan that is aligned with the global strategy.
      • All evaluation and analysis activities are implemented in accordance with the sub-plan.
      • All activities are evaluated and reported on every month.
    • Position the Evaluation & Analysis initiative so it continues to be innovative and market leading.
    • Ensure site activities/initiatives are measured and evaluated in accordance with the Workplace evaluation methodology and the discipline evaluation mechanism.
    • Ensure monthly evaluation and analysis reports are prepared for each site.

     

    Real Estate:

    • Lead the Real Estate discipline globally.
    • Ensure business strategy that is aligned with the global workplace framework/strategy.
    • Portfolio/footprint global strategy.

     

    Workspace:

    • Work closely with the Workspace Manager, to ensure the “site plans” includes “Workspace” sub-plans that are aligned with the global workplace framework/strategy.
    • Supervise space planning, portfolio and seating allocations globally.

     

    This position will be reporting to the SVP of People.

     

     

    Who we are looking for:

    Must Have:

    • At least 10 years of meaningful hands on experience managing corporate property portfolios.
    • Demonstrated ability to build, motivate and lead a team, interacting confidently with all levels of the organization
    • Demonstrated ability to set direction and influence senior management. Highly organized with ability to multitask and prioritize
    • Strong conceptual, strategic thinking and planning skills
    • Self-motivated and takes the initiative to achieve goals with minimal supervision A creative mind with an ability to think big
    • Ability to problem solve & think “on your feet”
    • Ability to create detailed schedules, budgets and plans
    • Able to balance tactical, day-to-day issues with overarching strategic positions and objectives.
    • Strong negotiation skills
    • Sound knowledge of financial management, with budget setting and management experience
    • Possess strong business acumen, the ability to drive results through others, with strong analytical and negotiation skills.
    • Have strong written and oral communication skills and the ability to influence key stakeholders.
    • Ability to seek and hear customer needs and wants while balancing over-arching business priorities.
    • Possess the ability to recognize opportunities and have a passion to drive the best results possible.
    • Adept at working in a cross-functional environment in a highly collaborative manner Broad knowledge of real estate, property management, and facilities management industry best practice and new tools
    • Experience overseeing complex project management processes including partnering with external and internal partners and providers (i.e. architects, engineers, IT, Security, FM, etc.

     

    Nice to Have:

    • Bachelor’s degree, preferably in Finance, Engineering, Real Estate, Construction or Facility management.
    • Connected in the tech world; able to network with other experience-related positions around the city
    • Excited about technology and using new products to improve workflow
    • Prior knowledge of Atlassian products Experienced change control manager
